ClinTouch is clinic management software provided on a subscription basis. It supports the recording of patient information, appointments, clinical records and prescriptions.

ClinTouch is a record-keeping tool. It does not practise medicine, does not provide clinical decision support, and does not verify the accuracy of anything entered into it. Clinical judgement, and responsibility for it, remain entirely with the treating clinician.

Subscriptions are billed per clinic according to the agreed plan and seat count. Plans, periods and status are managed by ClinTouch.

If a subscription lapses or is suspended, staff access to the application is paused. Patient data is not deleted, altered or exported as a result of a lapse, and access is restored in full on reactivation.

Patients retain access to their own records through the patient portal regardless of the clinic's subscription status.

On termination, the clinic may request an export of its data. After a wind-down period agreed in the data processing agreement, data is deleted.

The clinic is the data controller and is responsible for: obtaining valid consent from its patients, assigning roles correctly and removing access promptly when staff leave, setting a retention period that matches its legal obligations, and responding to data-subject requests within the statutory deadline.

The clinic must not share login credentials between staff members. Every action in ClinTouch is attributed to an individual account, and shared accounts destroy that attribution — which is both a security failure and a compliance one.

We aim for high availability but do not warrant uninterrupted service. Clinics handling urgent care should maintain a documented fallback procedure for periods when any software is unavailable.

To the extent permitted by law, our liability is limited as set out in the subscription agreement. Nothing in these terms limits liability that cannot lawfully be limited, including for death or personal injury caused by negligence.
